Lightbulb local information search

Hi there. How do you people deal with huge amounts of documents? We have a few computers in the local network and finding a particular document sometimes becomes a nightmare... standard windows search definitely doesn't help...

I categorize them
like they do in a library
so when i want to search about something i have a folder for every ....you know ..category...like Programing, Web Design, 3D Modeling,....etc
so i only search in one folder

I do it by type of file (music, program, video, etc), Then inside there if it is music I it put each artist in their own folder, if its a art program it goes into a art folder.

I hear google desktop does well at this? I have never used it tho
