i have outlook where i work and when i get an email it pops up in the bottom right hand corner and its starting to annoy me, can i stop this fro happening and also is there a different way to be informed that you have an email? thanks all
To turn the system tray email notification off do the following:
Tools-options-Preference Tab
select the "email options" button
now select the "advanced email options" button
In the middle section (entitled "when new items arrive in my inbox" you have to remove the check mark from "display a new mail desktop alert"
Now that pop up from the system tray won't bug you anymore.
There are other ways of being alerted when email arrives and you can customize them very specifically in such a way, that for example you will only be alerted when email arrives from say: John or Jane or Biewferd (for all I know) and only if the words "meeting on monday" are in the subject but as long as the words "with Dr. Buckly" are not in the subjet. I think you get the idea. The alert can be a sound or a pop-up (but this time in the center of the screen and it will stay there until you close it) or a combination of sound and pop-up etc... There will also appear a tiny yellow envelope icon in the system tray until you have opened the new emails. The sound alerts can be different depending on who the email is from.
To take a look at all these alert options, go to:

If a warning pops up telling you that rules and alerts do not work with http email addresses (such as hotmail etc..) just click ok.
Now, in the Email Rules tab, click on "new rule"
In the section called "stay up to date" you can make the selection you want and click next.
At this point, just follow the steps to create that rule.
Basically, you will be taken through a series of steps, where in the top panel you can place check marks on the various conditions and exclusions you want to set. Then in the bottom the selected conditions appear as links so that you can click on them and define the details of that condition (for example selecting the specific contacts that the rule will apply to etc...). In the case of selecting contacts, keep in mind that you can select several contacts at once by holding down the Ctrl key.
Make sure that in the last step there is a check mark on "turn on rule" or else the rule will exist but will never be carried out.
Note: You can also, for example, right click on Joe Shmoe's email (in the inbox list of emails) and select "rules and alerts". This is a fast way to customize an alert specifically relating to when Joe Shmoe sends you an email.
Rules and alerts can be pretty handy and go beyond just alerting you when an email comes in. So, you could set it up, so that all of Joe Shmoe's emails are automatically placed in a certain folder you created. Rules can be used to carry out all different kinds of actions when the conditions and exclusions are met. If you spend time putting some rules together, I recommend exporting them so that later you can import them back into Outlook if you needed to or if you wanted to import them into another pc.
To export them, click the "options" button inside the main rules and alerts window where all the rules you create are listed.
