We received dozens of suggestions to help TOL reader Tom Greenan
whose version of Word locks up when he tries to paste into a
document. TOL subscriber Rohn notes:
If you are copying from Internet docs, Word may be trying to
access the original Internet source. Try using Edit/Paste
Special instead. This strips off all formatting.
Terry Farrell offers these three suggestions:
Regarding Copy/Paste problems in Word. There are several
possible causes, so starting with the simplest:
Make sure that the user's temp folder is completely clear of
abandoned temporary files. This folder is usually in Documents
and Settings/Username/Local/Temp. With all applications closed,
this folder should be empty, so delete everything remaining in
the folder. Frequently, temp files -- including all the
temporary copy files -- are abandoned there, especially after
Word or a document has aborted.
Third-party add-ins have been known to conflict with the Office
Clipboard, so start Word in Safe Mode and test for copy/paste.
If it works in Safe Mode, then it is almost certainly an
incompatible add-in messing with the clipboard.
Finally, if you are trying to copy HTML-formatted data from a
Web page or e-mail, security measures will block this from
working. Instead of Copy/Paste, try copy and PasteSpecial, Plain
Text. You can write a little macro and add a shortcut (say Alt +
P) and a button to a Toolbar (or use the Quick Access toolbar in
Office 2007).
Several readers chimed in with the "paste special" technique,
including David Schreiber, who noted:
I'm not sure I have the entire solution to reader Tom Greenan's
problem of Word not being able to Paste, but I can suggest one
avenue to follow. Sometimes when you copy from a Web page, you
think you are copying only some text or an image when, in fact,
(probably because of hidden code) you are copying a ton of
material that is LINKED to what you are copying. Then it seems
like you're trying to Paste the entire Web!
If that does turn out to be his problem, when he copies text, he
should use Paste Special / Unformatted Text. Furthermore, images
should be Saved to disk, then Inserted into Word.
Ray Merriam wrote to suggest that memory might be at the root of
the problem:
Regarding Tom Greenan's copying problem, how large an amount of
material is he copying? I use Word to create books of hundreds
of pages on military history subjects and many include dozens
and even hundreds of images. Sometimes I need to move a whole
section, chapter, or even the entire publication to a new
document, and after selecting the material and hitting CTRL + C,
the hourglass can sometimes spin for what seems like forever.
Word is, of course, copying the selected material into memory
and if your memory can't handle all that, it will use your swap
file and that can really take a while for a large amount of
material. On rare occasions I have had Word crash when I tried
copying a really large amount of material.
If Tom's problem occurs with even small amounts of just text, he
probably has a different problem. I might suggest to Tom to also
check his Normal.dot file size. You may recall that some months
ago I wrote to explain a problem with opening and closing Word
itself, which often took a few minutes. I discovered that my
Normal.dot file had grown to over 14 MBs and after deleting it
and starting over, Word opened and closed very quickly as it
should.
